Job Title: Data Management Assistant (DMA)
Responsible to: Data Management Officer, Regional Coordinator & Program Manager
Essential Job description

§  Prepares, compiles, and sorts documents for data entry.

§  Transcribes source data into the required electronic format and verify integrity of data by comparing it to source documents.

§  Ensure data entry of patient records in MIS with data cleaning and quality assurance of the data entered in MIS

§  S/he knows to develop and update records ensuring accuracy through formula for excel data sheets

§  Performs high-volume data entry using spreadsheet, database, or other computer software e.g MIS.

§  Ensure data entry of records each month in the MIS before the submission of MPR of corresponding month

§  Reviews data for errors, missing pages, or missing information and resolves any discrepancies.

§  Maintains a filing system and protects patient’s confidential information.

§  Performs regular backups to ensure data preservation.

§  Coordinate with the area teams for data cleaning and retrieving missing information in the hard documents for data entry in the MIS

§  Maintain hard and soft records of the data received from the field on regular basis for data entry in the MIS.

§  Ensure and validate the quality of the data being entered in the MIS

§  Support the digitalization of all PPM data and facilitate the BMGF staff in digitalization.

§  Report and rectify any issues or discrepancies to Data Management Officer, found during the data entry into the MIS

§  Jointly with Data Management Officer, cross checking and validating the data entered in the MIS

§  Conduct field visits for the purpose of data verification, issues and building the capacity of the field staff to provide complete data and ensure the quality of the data, shared by the field staff regularly for data entry in the MIS.

§  To keep secrets of all the official matters, while assisting the management.

§  Any other duties as assigned by the management from time to time.

Security §  Ensure compliance with security procedures and policies as determined by country leadership
Works Directly With: §  Project Assistants, Data Management Officer, Regional Coordinator and Project Managers

§  Intermediate preferably graduate in any discipline, with diploma/course on data entry and/or management information systems

§  Fluency in written and spoken English, Urdu, Pashtu will be a plus.

§  Good computer skills including MS Office (MS Word, Excel and Power Point)

§  At least 2 years of relevant work experience with national and International organization preferably in health sector.

§  Good communication skills. Team members are expected to conduct themselves in a professional manner and respect local laws, customs and MC’s policies, procedures, and values at all times and in all in-country venues

§  Strong morals viz. honesty, transparency, generosity, and respect

§  Well motivated, team member able to work alone and/or without supervision

§  Willingness to undertake further training offered by and required by the programme

§   Duty Stations: Peshawar

§   Maximum age limit: 35 years

§   Mandatory documents: Valid Driving License Motor Car/Motor Cycle

§   Personal Laptop is mandatory

Success Factors §  Excellent computer and analytical skills. Ability to work with a wide variety of partners and geographically dispersed teams. Ability to work within a team, under pressure and with tight deadlines.
